How to use this planner

This planner turns a few simple answers into a pocket-ready kit. It works best if you fill it out the night before, while you still have time to pack calmly. Adjust the numbers to match your group. A family with young kids will want more shade and more frequent breaks. A small group of adults might care more about hydration and a clear meeting point.

Start with the hours you expect to be outside. Count from when you plan to arrive until when you plan to leave. If the parade starts at noon and you want to stay for the after-party, that might be six or seven hours. The planner uses that number to estimate how much water your group needs and how often you should reapply sunscreen.

Pick the heat level honestly. A warm day in direct sun feels very different from a warm day under trees. If you are not sure, choose the hotter option. It is easier to carry an extra water bottle than to treat heat exhaustion in a crowd.

For the meeting point, choose one fixed landmark near the route. A storefront, a park entrance, or a named intersection works well. Avoid picking a spot inside the crowd. If your phone loses signal or your battery dies, everyone still needs to know where to go. Write the backup spot too. If the first one is blocked, your group has a plan B.
